Student Admin - Site Requirements Met - Enter Prerequisites completed status for a specific placement

Placing & Receiving Agency Related Guide (PARG RARG)

Summary:
This guide explains how to enter that prerequisite requirements (other than OH&S) have been met by each student (site prerequisites) for an assigned placement created in Cohorts, or by Quick Entry. This step informs the receiving agency.

  • New (2023) - Requirements Met can now be entered on placements created by Quick Entry
  • Mass updating of Site Requirements Met per course is available
  • Site Requirements Met can be updated as soon as a student is assigned prior to release of the student name

Background
Receiving Agencies can list specific placement requirements on their site and destination profiles, and Placing Agencies can track specific student prerequisites on the student profile. The status and details of specific prerequisites is however not released to the site. Instead, Placing Agencies can enter a general "Requirements Met" status which is shared with the site and which indicates that the student has completed all requirements.

Requirements

  • The "Site Requirements Met" status is only applicable to a specific student assignment and can be set as soon as a student has been assigned. (Assignment Worksheet only). Req Met for confirmed placements can be updated on both Enrollment or Assignment Worksheets (see below).
  • The status is entered with an effective date
  • If the student assignment changes, the status must be entered again on the new placement

  1. Open the Enrollment screen for the desired course
  2. Select the Confirmed Placements screen mode
  3. Click on the "Requirements Met" icon


  1. Select the "Met" status and enter the effective date
  2. Save  the changes

Requirements Met can be updated as soon as a student has been assigned to a placement. It does not have to be Temporary or Finalized in order to do this. 

  1. Open the Assignment Worksheet for the desired course
  2. You can update Req Met to any students that have been assigned on this screen. Ensure the Show confirmed students box is marked in the Current View filter to show all your students if needed. 
  3. Click on the "Requirements Met" icon for the student
  4. Select the "Met" status, enter the effective date, and save  the changes
  5. If you unassign a student, the Req Met will be reset to blank. When you reassign the student you can then re-update the Req Met for that student.

Mass Updating method:

  1. Open the Assignment Worksheet for the desired course or the Enrollment Worksheet - choose Confirmed Placements screen mode
  2. Select all or whichever students are to be mass updated
  3. Choose in the Action drop down below Update Requirements Met Status
  4. Choose the status and the date and then Submit
  5. All selected students have now had their Requirement Met status changed

 

 

 

 

 

 

 

Things to remember

 

Only on the Assignment Worksheet - You can now update Req Met for any students that have been assigned. It does not have to be Temporary or Finalized in order to do this. This will speed up the placement process by updating this field prior to releasing the student information to the RA.

  1. Open the Outbox and locate the placement
  2. Open the Placement Request Details screen 
  3. Access the Students tab
  4. Ensure that the student name has been assigned
  5. Click on the "Requirements Met" icon  next to the name
  6. Select the "Met" status and enter the effective date
  7. Save the changes

Reviewing "Requirements Met" status in Details (for Placing and Receiving Coordinators)

  1.  Open the Inbox or Outbox and locate the placement in question
  2. Open the Placement Request Details screen 
  3. Access the Students tab where the student name is displayed with Requirements Met status

Note: for individual placements (e.g. preceptorships), the "Requirements Met" status is also displayed directly in Inbox/Outbox next to the student name:

  •  When producing the Security/Access Listing Report Wizard including the student name, the status of "Requirements Met" and effective date are included:


Remember

  • "Requirements Met" status can only be entered and displayed once the student is assigned and confirmed to a placement
  • The status is only valid as of the effective date entered in case requirements are updated
  • If the student is unassigned from the placement, "Requirements Met" status is automatically cleared
